These Reservation & Pre-Opening Terms govern stays at the Glamp Island boutique glamping property in Bocas del Toro, Panama, opening Sept–Nov 2026. By submitting a reservation and completing payment, you (the “Guest”) agree to these Terms.

Booking Entity and Property
Reservations made through glampisland.com are sold and processed directly by Glamp Island, LLC, a Wyoming limited liability company. Glamp Island, LLC is the operator and authorized booking entity for direct lodging reservations at the Glamp Island boutique glamping property in Bocas del Toro, Panama (the “Property”).

Accommodations Only. No Bundled Travel.
Your reservation is for lodging only. The booking price covers the dome accommodation and on-Property amenities included with your reservation as quoted at booking.
Your reservation does NOT include and we do NOT sell through Stripe:
- Flights to or from Panama.
- Domestic flights within Panama.
- Ground transfers in Panama City or Bocas del Toro.
- Water transfers to or from the island.
- Excursions, tours, or third-party activities.
- Travel insurance.
- Memberships, timeshares, or travel packages.
You are solely responsible for arranging and paying for all travel to and from the Property. Travel information we share is informational only and does not create any booking, agency, or warranty relationship between Glamp Island, LLC and any third-party travel provider. Pre-Opening Disclosure
Glamp Island has a projected opening date of September 15, 2026 and a currently anticipated open-by date of November 30, 2026. At the time of booking, the Property is in pre-opening construction and your reservation is for a stay at a Property that is not yet open to the public. You acknowledge this when you complete your reservation.
If the Property’s opening is delayed past your reserved arrival date, the operator-delay remedy in Section 7 applies. We will notify you by email as soon as we identify a material risk of delay affecting your arrival window.

Founders’ Rate and Opening Season
Reservations booked during the pre-opening period are sold at a Founders’ Rate that is below the Property’s published opening rate. Pricing per night varies by season and may include per-date overrides for holiday peaks. The exact pricing for your stay is quoted before you pay, locked in at the moment of booking, and snapshotted on your reservation record. Subsequent changes to seasonal rates do not affect the price of a stay you have already paid for.
All amounts are stated and charged in United States Dollars (USD).

Deposit and Balance Model
A deposit equal to 25% of the total stay cost is charged at the moment you complete your reservation. The remaining 75% balance is automatically charged to the same payment method 60 days before your arrival date.
You will receive an email reminder approximately five days before the balance charge runs, so the timing is never a surprise. You may update your payment method, request a date change, or initiate cancellation through your secure Manage Reservation link before the balance is charged.
Full payment terms — including saved-card authorization, the off-session balance charge, approved reservation charges, unpaid checkout balances, unpaid incidentals, damage charges, and refund handling — are in the Payment Authorization, Saved Card & Incidentals Terms.

Admin-Created Hold and Full-Payment Option
In some cases, our team may create a reservation hold on your behalf (for example, when you book by phone or email). When this happens, you receive an email with a secure Manage Reservation link to a Pay Now page where you complete payment to confirm the reservation. The hold typically remains active for 24 hours from creation. If we do not receive payment by the hold expiration time, the dome may be released and made available to other guests.
Admin-created holds may be configured for either:
- Deposit now, balance later — 25% deposit at Pay Now confirms the reservation; the remaining 75% balance auto-charges 60 days before arrival.
- Full payment now — the full stay amount is charged at Pay Now and no balance charge is scheduled.
You will see which option applies before you complete payment.

Cancellation, Refund, and Operator-Delay Remedy
Your cancellation eligibility and the operator-delay remedy are governed by the separate Cancellation & Refund Policy, which is incorporated into these Terms by reference. The current cancellation tiers are:

Date Changes and Refund Reviews
You may request a date change or a refund review at any time through your secure Manage Reservation link. All such requests are reviewed by Glamp Island, LLC before any change is made.
- Date change requests. Our team re-checks availability for the requested new dates and confirms whether the new dates can be honored at the same dome. Any change in the total stay cost resulting from a date change will be communicated to you before any payment adjustment is made; we do not automatically charge or refund the price difference without your acknowledgement.
- Refund-review requests outside the standard cancellation tiers in the Cancellation & Refund Policy are reviewed personally by our team. Outcomes are at the operator’s discretion based on the circumstances and the cancellation policy.

Manage Reservation Link
Each confirmed reservation has a single, randomly-generated secure reservation link that is delivered by email. The link lets you view your booking, update your phone number, add an arrival note, and submit change, cancellation, or refund-review requests. The link is rotated whenever a fresh link is requested or whenever certain reservation actions occur. Treat the link like a password.

Guest Information Requirements
To complete a reservation, you must provide a primary guest first and last name, an email address, and the total number of adults and children. You are responsible for the accuracy of this information and for ensuring that the primary guest and all members of your party have valid travel documents and entry permissions for the Republic of Panama.

Occupancy and Guests
Each dome has a published maximum occupancy. The current standard is two adults per dome, with a children policy as posted at the time of booking. Exceeding the maximum occupancy without prior written approval from our team is grounds for refusal of service or termination of the stay.

Guest Responsibilities
By booking a stay, you agree that you and any guests in your party will:
- Conduct yourselves in a manner that respects other guests, staff, and the natural environment of the Property and surrounding waters.
- Comply with Property rules and any safety instructions provided on arrival.
- Not engage in conduct that is illegal under the laws of the Republic of Panama or that endangers other guests, staff, or the Property.
- Not exceed the maximum occupancy of your reserved dome.
Glamp Island, LLC reserves the right to terminate a stay without refund in response to conduct that violates the above or that materially endangers other guests, staff, or the Property.

Damage Responsibility
You are responsible for damage to the Property, furnishings, fixtures, or equipment caused by you or members of your party during your stay, beyond normal wear and tear. If damage occurs, we will provide an itemized statement using the contact information on your reservation and may charge the payment method on file as authorized in the Payment Authorization, Saved Card & Incidentals Terms.

Weather, Natural Events, and Force Majeure
The Property is located on a Caribbean island in Panama. Weather and sea conditions can change rapidly. Glamp Island, LLC is not liable for delays, disruptions, or modifications to your stay caused by events beyond our reasonable control, including but not limited to severe weather, tropical storms, flooding, seismic activity, fire, infectious-disease outbreaks, transportation disruptions, government action, civil disturbance, utility failures, or third-party vendor failures (collectively, “Force Majeure Events”).
If a Force Majeure Event prevents us from providing your reserved stay, we will work with you in good faith on rebooking or refund arrangements appropriate to the circumstances. This is not a waiver of any non-waivable rights you may have under applicable consumer-protection law.
We strongly recommend travel insurance to protect against flight disruptions, weather, medical events, and personal schedule changes.

Payment Processing and Email Delivery
15.1 Payment processor
Card payments and refunds are processed by Stripe, Inc. Stripe receives the card data necessary to authorize and capture your payments; Glamp Island, LLC does not retain raw card numbers on its own systems. Stripe’s own terms and privacy notice apply to its processing.
15.2 Transactional email
Reservation-related emails (including itemized statements where applicable) are delivered through Resend, Inc. Resend receives the email address and message content necessary to deliver the messages.

Limitation of Liability
To the maximum extent permitted by applicable law, Glamp Island, LLC and its members, officers, employees, and agents are not liable for indirect, incidental, special, consequential, or punitive damages arising from or in connection with your reservation, your stay, or these Terms.
Our aggregate liability to you for any claim related to a reservation shall not exceed the total amount you actually paid to Glamp Island, LLC for that reservation.
Nothing in this Section limits or excludes any liability that cannot be limited or excluded under applicable law.

Governing Law and Disputes
These Terms are governed by the laws of the State of Wyoming, United States, without regard to its conflict-of-laws principles, to the extent permitted by applicable law. The parties shall first attempt in good faith to resolve any dispute through direct communication with Glamp Island’s support team. Any dispute that cannot be resolved that way will be brought in the state or federal courts of Laramie County, Wyoming, and you consent to personal jurisdiction in those courts. Nothing in this Section limits or excludes any non-waivable rights you may have under applicable consumer-protection law.

Marketing Communications
If you opted in to marketing communications at booking, you may receive occasional non-transactional emails (Property updates, opening announcements). You may unsubscribe at any time through the unsubscribe link in any marketing email or by contacting [email protected]. Transactional emails related to your reservation are not opt-out while the reservation is active.

Changes to These Terms
We may update these Reservation & Pre-Opening Terms from time to time. The version that applies to your reservation is the version in effect at the moment you completed your booking; that version is recorded on your reservation record. Subsequent changes do not retroactively apply to prior bookings.
