This Privacy Policy describes how Glamp Island, LLC (“Glamp Island,” “we,” “us,” or “our”) handles information collected through glampisland.com (the “Site”), our reservation system, and our guest communications.

Information We Collect
Information you provide. When you join the waitlist, we collect your email address and, if you share it, your first name. When you submit a contact or inquiry form, we collect your name, email address, and message, along with a phone number if you include one.
When you book a stay, we collect your name, email address, optional phone number, optional country, the dates and dome you book, and any guest-supplied notes you leave through the Manage Reservation portal.
Technical information. As part of standard website delivery, our hosting infrastructure processes information such as the pages requested, browser type, referring URL, and IP address. This is inherent to how websites function and is not separately collected by us.

Reservation Data
When you complete a reservation, we maintain a reservation record that includes:
- Your stay details (dates, dome assignment, guest count).
- Pricing snapshot at the moment of booking, including any per-night rate breakdown and the deposit and balance amounts.
- Your contact information for the reservation.
- Any change requests, cancellation requests, refund-review requests, or arrival notes you submit through the Manage Reservation portal.
- Operational records our team maintains while servicing your reservation (visible only to our team), including any folio items, incidentals, or damage records associated with your stay.
- Email events related to your reservation (sent confirmations, reminders, receipts, itemized statements).

Payment Data Handled Through Stripe
Card payments are processed by Stripe, Inc., our payment processor. Your card information is collected directly by Stripe and is not stored on Glamp Island’s own systems. Glamp Island stores only Stripe’s tokenized references — a customer identifier and a payment-method identifier — so that we can charge the remaining balance 60 days before your arrival, as you authorize at booking, and so that we can charge or refund the payment method on file as authorized in the Payment Authorization, Saved Card & Incidentals Terms.
Stripe’s own privacy notice and terms apply to its processing of your card data.

Saved Payment Method and Authorized Charges
If you book under our deposit and balance model, the payment method you use at booking is saved with Stripe. The saved payment method is used only for:
- the scheduled remaining balance charge for your reservation;
- approved reservation charges that you authorize as part of your stay;
- unpaid checkout balances and unpaid incidentals associated with your reservation;
- damage charges, as authorized in the Payment Authorization, Saved Card & Incidentals Terms, with an itemized statement provided before the charge; and
- refunds returned to the original payment method.
We do not maintain a recurring subscription or membership on your card; this is not a membership.

Email Communications Through Resend
Reservation-related emails (booking confirmation, balance reminder, balance receipt, pre-arrival travel information, request acknowledgements, itemized statements, and final receipts) are delivered through Resend, Inc. Resend receives the email address and message content needed to deliver each message. Waitlist and marketing emails are also delivered through Resend.

Secure Reservation Links and Manage Tokens
Each confirmed reservation is associated with a single, randomly-generated secure reservation link. The link is delivered only by email and is rotated whenever a fresh link is requested. We store only a one-way cryptographic hash of the link, never the raw link, so that even if our database were compromised the active link could not be derived from what we hold.

Consent Records
When you accept the cancellation policy, the pre-opening acknowledgement, the saved-card and incidentals authorization, the booking terms, and the marketing opt-in choice at booking, we record each acceptance together with the IP address and user agent of the device used to accept. These records support dispute resolution and accounting compliance.

Cookies, Analytics, and Tracking
We do not use advertising cookies or third-party cross-site tracking technologies on the public site. If analytics are configured, we use a privacy-focused service that collects only aggregate, anonymized traffic data (such as which pages were visited and where traffic originated) without identifying individual visitors or sharing data with advertising networks.
Standard browser, infrastructure, and security functions involved in delivering this Site may involve technical data processing by our hosting provider as part of routine site operation. You can adjust cookie settings at any time through your browser.

Service Providers
We work with a small number of trusted service providers:
- Cloudflare — website hosting, infrastructure, and associated services for glampisland.com.
- Resend — delivery of the waitlist welcome email and all reservation-related transactional emails.
- Stripe — card payment, charge, and refund processing for reservations.
These providers receive only the information necessary to perform their services. They are not permitted to use your information for their own marketing or commercial purposes. Each provider has its own privacy notice that governs its processing.

How We Use Your Information
We use the information we collect to:
- Operate your reservation and communicate with you about it.
- Send transactional reservation email (confirmation, balance reminder, balance receipt, pre-arrival travel, request acknowledgements, itemized statements, final receipts).
- Send waitlist confirmations and pre-opening updates when you join the waitlist.
- Respond to inquiries and contact submissions.
- Notify our team of new inquiries so we can follow up.
- Understand in aggregate how the Site is being used so we can improve it.
We do not sell your information. We do not share it with third parties for their own marketing or advertising purposes. Submitting a contact inquiry does not add you to the waitlist.

Data Retention
We retain personal information only as long as reasonably necessary for the purposes described in this Policy, including:
- Reservation records — for the operational life of the reservation and the periods required by applicable tax, accounting, payment-card, and dispute-resolution rules. Payment-card dispute windows can extend beyond a year after the charge; accounting and tax records are typically retained for a number of years depending on jurisdiction.
- Consent records — for the same period as the underlying reservation, as evidence of acceptance.
- Itemized statement records (for damage charges and disputed incidentals) — for the operational life of the reservation and a reasonable period after for dispute and chargeback handling.
- Waitlist and marketing communications — until you unsubscribe or request deletion.
- Operational records related to your reservation — for the operational life of the reservation and a reasonable audit period after.
If you request deletion of your information or unsubscribe from waitlist communications, we will remove you from our active records. Residual copies may remain in system backups for a limited period.

Security
The Site is delivered exclusively over HTTPS. Form submissions are processed through our infrastructure provider using industry-standard security practices. We do not collect raw payment card information through this Site (Stripe handles all card data). No data transmission or storage can be guaranteed completely secure. If you have a concern, please contact us directly.

Your Rights and Choices
You may contact us at any time to:
- Request access to information we hold about you.
- Request a correction to inaccurate information.
- Request deletion of your information (subject to recordkeeping required by applicable law).
- Withdraw consent to receive non-transactional communications.
To make a request, email [email protected] with “Privacy Request” in the subject line. We will respond within a reasonable time. We do not make fully automated decisions about individuals using the Site.

Email Communications
When you join the waitlist, you receive a welcome confirmation and may receive pre-opening updates. Every marketing email includes an unsubscribe link; clicking it removes you from future communications. You may also request removal by emailing [email protected].
Reservation-related transactional emails (confirmation, balance reminder, balance receipt, pre-arrival travel, request acknowledgements, itemized statements, final receipts) are sent only while your reservation is active and are not subject to marketing unsubscribe — they are necessary to operate the reservation.

Children’s Privacy
The Site is not directed at children under 13. We do not knowingly collect personal information from anyone under 13. If you believe we have inadvertently done so, contact us and we will promptly delete it.

International Visitors
Glamp Island, LLC is based in Wyoming, USA. If you access the Site from outside the United States, your information will be transferred to and processed in the United States and other locations where our service providers operate. By using the Site, you acknowledge this transfer.

Third-Party Links
The Site may reference or link to third-party websites, platforms, or social media accounts. We are not responsible for the privacy practices or content of those sites. We encourage you to review the privacy policies of any third-party service you visit.

Changes to This Policy
We may update this Privacy Policy as our practices evolve. When we do, we will revise the Effective Date above. Continued use of the Site after an update constitutes acceptance of the revised Policy.
